Summary:
Oversees the 24-hour operation of the front desk and reservations.
Responsible for the training and supervision of guest services representatives, guest service supervisors, and reservations agents working at the Pelican Beach Management front desk and reservation office.
Prepares work schedules for the department.
Operates front desk according to the company procedures.
Maintains data on past and future room occupancy, booking trends, and other pertinent information.
Monitors bookings made on-line through Pelican website and other online booking agencies, or 3rd party companies/VRBO.
Maintains correspondence and accurate files for the property.
Informs other departments of occupancy counts and changes, guest special requests, and guest charging status.
Addresses customer service complaints and flows through until issue is resolved.
Responsible for charging guests for damages and reporting charges to the rental manager.
Key Functions:
1.
) Supervises staff to ensure that front desk operations are functioning according to policies and procedures, that all deposits are recorded timely, and that all reports processed by the front desk operations are completed accurately and delivered to the appropriate departments as scheduled.
2.
) Hires, discharges, trains, and motivates department employees.
Ensures that all staff are knowledgeable and trained in the department policies and procedures, sales techniques to ensure optimal conversion rate from inquiries to bookings, and knowledgeable about area attractions and in-house amenities.
Monitors agents phone calls on a periodic basis.
Keeps staff informed of new policies and procedures, advertising promos and other special marketing campaigns.
Monitors special bookings, that include but are not limited to those booked through the Pelican Beach Management website, Red Awning or other OTA's and VRBO & Airbnb.

) Performs performance appraisals on all guest services staff; counsels and supports staff as necessary.

) Submits payroll information to bookkeeper.
5.
) Reviews and corrects daily cash and income reports and submits to bookkeeper daily.
6.
) Coordinates with sales department on group bookings.
Ensures changes to these bookings are kept current, that billing information for rendered services is correctly input into RNS, and that billings are completed accurately and in a timely manner.
7.
) Sets department goals and work toward achieving all goals set.
8.
) Process guest check-in/check-out and collect rental payments.
Ensures preparation of arrival packets for guests.
Processes credit cards as per management procedures.
Ensures accurate daily collection of money and preparing daily deposits.
Also, ensure timely and proper guest refunds if necessary.
9.
) Assists guests with their questions and complaints.
Always exhibits good public relations.
10.
) Answers property's incoming switchboard and direct calls to the appropriate party.
11.
) Deals effectively with customer complaints regarding rooms, noise or other.
Communicates guest requests and complaints to proper department heads and assures resolution through follow-up.
Ensures special requests are carried out.
12.
) Monitors all guest service personnel for courteousness and professionalism.
13.
) Ensures signature on file and credit card copies and ID's of all guests for additional charges such as restaurant, bar, beach service.
Research accounting charges disputed by guests and discrepancies in reports between departments.
14.
) Works closely with each department to ensure proper billing and collection of guest and owner additional house charges.
Bills guests and owners for house charges and rent not collected upon check-out such as damage charges or Caf ' charges, or owners cleaning fees.
15.
) Uses computer to make reservations or to check unit availability for guest and owner inquiries including VRBO and Airbnb reservations.
16.
) Works closely with rental manager, housekeeping and maintenance.
Informs departments of occupancy changes and forecasts.
Coordinates special requests and needs.
17.
) Reports any discrepancies in unit descriptions, information, or rates to renal manager.
18.
) Administers petty cash and mail for the property.
19.
) Reacts in emergencies, contacts proper authorities when necessary, and notifies management staff as directed.
20.
) Perform daily, weekly, and monthly computer system back-ups.
21.
) Performs other duties as required to meet company and departmental objectives.
22.
) Performs special projects or duties requested by General Manager.
